Staff pick and drop: ten questions to ask a provider before you sign

A price per month tells you very little. These ten questions show how a provider will behave on the morning something goes wrong.

Staff pick and drop provider checklist

A staff pick and drop contract is easy to sign and hard to live with if the provider is the wrong one. The monthly price tells you little about what happens on the morning a vehicle fails to start. These ten questions do.

Safety

1. How do you verify your captains?

Ask what is checked, and how often. Verification should be repeated, not done once.

2. How often are vehicles inspected?

A provider should be able to describe its inspection routine without hesitation.

3. What happens in an emergency during a ride?

There should be a clear process and a team that responds quickly.

Reliability

4. What is your backup when a vehicle or captain is unavailable?

This is the most revealing question on the list. A provider without backup capacity is asking you to carry the risk.

5. How are pick-up times worked out?

Look for times based on real travel conditions, not on distance alone.

Visibility

6. Can we track rides?

You should be able to see rides as they run and review them afterwards. See how our client dashboard approaches this.

7. What reports will we receive?

Punctuality and occupancy are the two figures that matter.

Support

8. Who is our point of contact?

A named account manager who knows your routes is worth more than a general helpline.

9. When is support available?

If your shifts run early or late, support must run early and late too. Ours is described on the customer support page.

Cost

10. Do we pay per vehicle or per seat?

Ask the provider to price both. The answer depends on how full your routes will be, as we explain in dedicated fleet vs seat-based transport.

Staff pick and drop: how to compare the answers

Put the answers side by side. A provider that answers all ten clearly, in writing, has thought about the days that do not go to plan. One that answers only the question about price has not.

Ask us the same ten questions

We are happy to answer every one of them for your organisation. Get in touch and tell us about your commute.

Questions people ask

Ask about captain verification, vehicle inspection, emergency response, backup capacity, how timings are set, tracking, reporting, your point of contact, support hours and pricing.

What the backup is when a vehicle or captain is unavailable, because it shows who carries the risk on a bad morning.

Ask for both. Per vehicle suits routes you can fill; per seat suits smaller or scattered teams.
